Use a repeatable structure

Start with the proposed next action, then the strongest evidence, the unresolved issue and the first question. Four short fields are easier to hand over than a page of general praise.

Keep claims attributed

“The CV states…” is different from “The candidate confirmed…” and different again from “A reference verified…”. Preserve those distinctions when you paste a note into your ATS or CRM.

Make the question specific

“Explore technical depth” does not help the next recruiter. “Which part of the deployment did you own?” gives them a concrete next move and makes the follow-up easier to record.

Keep control of the final message
